Getting started
What do I need?
An Android tablet or phone (Android 7 or newer), or an Amazon Fire tablet. An 8–10 inch tablet on a stand works best at a front desk. No account is needed to start.
How do I set it up?
- Open Doorbook. The setup screen asks for your organization name and an event or welcome line.
- Pick a starting set of questions (event, visitor log, volunteers, or class). You can change them later.
- Choose an admin PIN (4–8 digits).
- Write down the recovery code the app shows next. It’s the only way back in if you forget the PIN.
Where are the admin screens?
Tap the small lock icon in the corner of the sign-in screen and enter your PIN. Admin screens lock themselves again after 3 minutes without a tap.
Can I change the questions?
Yes: admin → Settings. Rename, show or hide, make required, add (up to 12) or remove questions. Full name is always on. Answers already collected stay matched to their question even if you rename it.
PIN and kiosk lock
I forgot the admin PIN
On the PIN screen, tap Forgot PIN? and enter the recovery code you wrote down during setup. You’ll choose a new PIN without losing any data and get a new recovery code. For security, we can’t reset a PIN for you. Without the PIN or recovery code, the only option is to reinstall the app, which erases the check-ins on that tablet.
How do I keep visitors from leaving the app?
Admin → Settings → Kiosk lock → Turn on. Doorbook pins itself to the screen, so the Home and Recent buttons won’t leave the app, and it re-pins itself if someone manages to unpin it. Closing the admin screen turns the lock back on.
Android may show a short hint about how to unpin. Doing so takes visitors to the tablet’s lock screen, so set a screen lock (PIN or pattern) on the tablet itself.
For a fully locked-down, dedicated tablet (Android only, not Fire), the app can be set up as the device owner. Email us for the steps.
Cloud sync (Pro)
Connect Google Drive
- Admin → Data → Google Drive.
- The tablet shows a code. On any phone or computer, go to google.com/device and enter it. On the tablet itself, tap Use this device: copy code & open the page and paste.
- Choose the Google account that should hold the check-ins and tap Allow.
In that account’s Drive you’ll find a Doorbook – your organization folder with a Google Sheet (one row per check-in) and a Photos folder. Doorbook can see only the files it creates.
Connect OneDrive or SharePoint
- Admin → Data → OneDrive or SharePoint.
- Go to microsoft.com/devicelogin and enter the code, or use the copy-and-open button on the tablet.
- Sign in and accept. For SharePoint, then pick the site and document library on the tablet.
Work and school accounts get an Excel workbook. Personal OneDrive accounts get a CSV file, because Microsoft’s Excel features aren’t available on personal OneDrive.
Microsoft says “Need admin approval”
Many Microsoft 365 organizations require an IT admin to approve apps that save files. It’s a one-time step for the whole organization: an admin (Global Admin or Cloud Application Admin) approves Doorbook, then anyone in the organization can connect a tablet. Email support@getdoorbook.com and we’ll send your admin a direct approval link.
Can several tablets use one sheet?
Yes. Connect each tablet to the same Google account (or the same OneDrive or SharePoint library). They find the same file and each adds its own rows. Give each tablet a station name in Settings so you can tell them apart in the Station column.
What if the internet goes down?
Nothing is lost. Check-ins are saved on the tablet first. The tablet retries every couple of minutes and as soon as the connection is back. The Data tab shows how many are waiting.
I added a question. Where’s the new column?
New questions get a new column (at the end in Google Sheets and CSV files, just before “Record ID” in Excel). Renaming a question keeps using its original column so old and new rows line up.
Data and exports
How do I get the list off the tablet?
Admin → Data → Export visitor list (.csv) opens in Excel, Google Sheets or Numbers. Full backup with photos (.zip) includes everything. Both open the tablet’s share menu so you can email them or save to Drive.
How do I delete check-ins?
Delete one from the Visitors tab, or all from Data → Delete all. Photos can also delete themselves automatically after 30, 90 or 365 days (Settings). Rows already synced to your Google or Microsoft account stay there until you delete them in that account.
Does Doorbook see my visitors’ information?
No. It stays on your tablet and, if you turn on sync, goes directly to your own cloud account. See the privacy policy.
Plans and billing
What’s the difference between Free and Pro?
Free includes 50 check-ins a month, custom questions, kiosk lock and exports. Pro adds unlimited check-ins, visitor photos and cloud sync. See plans.
What happens at the free limit?
New check-ins pause until the 1st of next month and the kiosk says so. Your existing check-ins, exports and admin screens keep working. Upgrading lifts the limit straight away.
How do I cancel or get a refund?
Subscriptions are managed by the store you bought from:
- Google Play: Play Store app → profile icon → Payments & subscriptions → Subscriptions → Doorbook.
- Amazon Appstore: amazon.com → Your Memberships & Subscriptions, or on the Fire tablet: Appstore → Subscriptions.
Refunds follow that store’s policy. If you have trouble, email us.
I got a new tablet. How do I restore Pro?
Sign in to the same Google Play or Amazon account on the new tablet, then admin → Plan → Restore purchases.
